Common Area Association Maintenance

Maintenance is critical to an Association’s property management and is essential to preserving the value of your investment. Epoch provides for a hands on, full-service approach to the maintenance of all associations. We provide this service as follows:  

  • Ensure the common areas are maintained by licensed contractors or by staff.

  • Weekly inspections of all common elements, noting any issues.   

  • Archive inspection reports on the website.    

  • Maintain 24/7 ASAP response to emergencies for Owners &Tenants, typically an hour. Non-Emergency Response:  within 24 hours but typically within 1-2 hours during normal business hours. Office Open Mon - Fri 9:30 to 4:30 pm

  • Coordinate emergency repairs and insurance claims for damage to or caused by common elements.

  • Proactively provide oversight for the Design Review Process for construction/remodeling activities by individual owners to ensure enforcement of rules and regulations, protection of common elements, adherence to Association Design Guidelines and proper coordination with stakeholders.

  • Work with the Board to develop Design guidelines as required. I.e.: Roofs, Railings, decks, painting, etc.     

  • Coordinate and/or act as associations representative for major capital projects.  Provide regular updates to the Board on projects.  

Financial Management

Fiscal responsibility is an extremely high priority for Associations and their management company. The accounting team and management will prepare and mail owner statements; pay all invoices and follow the collection policy as required.  We will work with the Treasurer of the Association to provide timely reports for information to the board/website by the 15th of the month,  manage operating and capital reserve accounts;  prepare and manage an annual budget for operating and capital reserve funds. Provide for preparation of a reserve schedule to utilize as a tool in coordination with the annual budget process.  

Administrative responsibilities for Association Management

Providing for Guidance and education regarding Governance and the best practices for Associations is key to successful management.  We do this respectfully as follows:       

  • Enforcing all Board-approved rules and regulations.

  • Maintain professional and courteous relationships with all owners.

  • Attending Board of Directors and Annual owner meetings.

  • Preparing and distributing annual meeting notices, proxies, and agendas

  • Providing for policy updates, governing document amendment recommendations and general guidance as situations arise.

  • Maintaining files of legal documents & acting as liaison to board with legal counsel as needed.

  • Securing competitive bids for subcontracted services.

  • Developing Request for Proposals and soliciting bids for projects, insurance, contractors and other maintenance.

  • Entering and overseeing contracts on behalf of and with approval from the Board of Directors to ensure the services are provided as agreed at or under budget.

  • Being present to provide for the safety, cleanliness or upkeep of all projects.

  • Communicating projects, rule violations, to owners and the board.

  • Acting as a 24-hour emergency contact

  • Providing for current website with all association information per Colorado State Statute and CCIOA.
